Preparing your presentation

Oral presentations will be 10 minutes long and need to be pre-recorded and sent to the DLED Organising Committee by 23 November 2020.

In this time of digital conferences, sharing data on social media is of concern to many scientists. If you are presenting data that you do not want people to share on social media please include a “no photo” or “no Twitter” image on your slides/poster. We ask all participants to be considerate of presenters wishes in this regard and request that no recordings are made or photos taken without the express permission of the author/s. All oral presentations will be stored on the MPI server for the duration of the meeting and will be deleted once the meeting concludes. Posters will be made available in a shared folder that will be accessible by all registered participants. No materials will be retained by the MPI beyond the end of the DLED2020 meeting.

How to record your video presentation

Tips:

  • Use a high-quality microphone rather than the one built into your computer - most webcams have a relatively good microphone.
  • Find a quiet area to make the recording.
  • If you include a video of yourself speaking, make sure your face is well lit, and put the camera at or above your eye level. Also remember to setup your slides so that the video does not obscure your data (e.g. leave a space in the top right corner for the video screen).
  • You can choose to record just audio if you prefer (this will be easier with Apple Keynote and older versions of Powerpoint).
Step 1:

Build your presentation as usual using your preferred presentation software (e.g. Powerpoint, Prezi, or LibreOffice). Practice the talk to make sure it can be done within the time limit.

Step 2:

Once your presentation is ready, you will need to record the presentation (either audio only, or audio with a video of you speaking). This can be done in several ways.

  • If you have the latest version of Microsoft (Microsoft 365), it is easy to record directly within Powerpoint (instructions).
  • If you are using an older version of Powerpoint, you can record audio only within Powerpoint (instructions). Make sure you save it as MPEG-4 video. You can also use Powerpoint in combination with a video conferencing system in which you can share your screen, such as the desktop version of Zoom, Microsoft Teams, etc. (instructions) (should work on Mac or PC).
  • If you are using Prezi, LibreOffice, or another type of presentation software, you can also use the screen share function on Zoom or Microsoft Teams as explained for Powerpoint, above. Other software, such as Discord (instructions) or Jitsi, can also be used.

How to upload your video presentation

Once your video file is recorded, you can send it to us using your institutions’ approved fileshare application (e.g. DropBox, etc). Please email the link to DLED2020@[>>> Please remove the brackets! <<<]eva.mpg.de and we will download your presentation to our server and confirm receipt.
